Your Wedding Venue Non-Negotiables: What to Look for Before You Book
Before you fall in love with a venue, know what you absolutely need from it.
Finding your wedding venue is one of the most exciting parts of wedding planning. From beautiful Cornish coastal views and elegant country houses to rustic barns and private estates, there are so many incredible wedding venues to choose from across Cornwall and the South West.
But before you start booking viewings and imagining your wedding day in every space you visit, there is one important step worth taking: identifying your wedding venue non-negotiables.
As a Wedding Planner, I always encourage couples to think about what they genuinely need from their venue before getting swept up in how it looks. A venue might be beautiful, but if it cannot accommodate your guests, fit your plans or offer the experience you have in mind, it might not be the right choice for you.
Here is how to identify your priorities and make your wedding venue search feel a little more straightforward.
What Are Wedding Venue Non-Negotiables?
Your venue non-negotiables are the things your wedding venue absolutely must offer for it to work for you, your guests and the day you want to create.
These are different for every couple. What matters to one couple might be completely unimportant to another, which is why it is worth taking the time to establish your own priorities before you begin your search.
For example, your non-negotiables might include:
On-site accommodation: Enough bedrooms to accommodate your wedding party, or perhaps all your guests, so everyone can enjoy the celebrations without worrying about travelling home.
A late-night licence: If you are dreaming of a lively evening reception, a packed dance floor and celebrations that continue into the night, check the venue's permitted finishing time.
Location and travel time: If you are planning a separate ceremony venue, you might want your reception venue to be within 15 minutes of your ceremony location to keep travel simple for you and your guests.
A wet-weather option: Particularly important if you are planning an outdoor ceremony in Cornwall, where having a beautiful and practical indoor alternative can make all the difference.
Flexibility with suppliers: If you have your heart set on particular caterers, florists or entertainment, check whether the venue allows external suppliers.
Exclusive use: If privacy and having the space entirely to yourselves are important, make sure this is something the venue can offer.
These are just a few examples to get you thinking. Your own list might look completely different, and that is absolutely fine.
The important thing is to be intentional about what really matters. Not every preference needs to be a dealbreaker, so try to distinguish between the things you genuinely cannot compromise on and those you would be happy to be flexible with.
Why Identify Your Non-Negotiables Before Your Wedding Venue Search?
It is very easy to fall in love with a wedding venue that looks incredible, only to discover later that it does not quite tick all your boxes.
Perhaps the accommodation is limited, the evening celebrations need to finish earlier than you hoped, or the journey between your ceremony and reception is longer than you had planned. These details might seem small when you are browsing beautiful photographs online, but they can have a significant impact on how your wedding day comes together.
Knowing your non-negotiables from the beginning helps you narrow down your search and focus on the venues that genuinely suit your plans.
Knowing your non-negotiables from the beginning helps you narrow down your search and focus on the venues that genuinely suit your plans.
It can also save you valuable time. Rather than spending weekends visiting venues that were never quite right, you can concentrate on viewing the ones that meet your essential requirements and offer the potential to create the wedding you have in mind.
As a Wedding Planner, I believe that good planning starts with asking the right questions. The earlier you establish your priorities, the easier it becomes to make confident decisions throughout the planning process.
And remember, a venue does not have to offer absolutely everything on your wish list to be the right choice. It simply needs to meet the requirements that matter most to you.
Choose Two or Three Non-Negotiables Each
One of the best ways to start is to sit down together and make your lists separately.
I recommend that you each choose two or three non-negotiables that are most important to you personally. Try not to influence each other's choices at this stage; instead, think about what would make your wedding day feel right for you.
Once you have both written your lists, compare them. It gives you the opportunity to talk through what matters to each of you, understand where you might need to compromise and agree on the things that are genuinely essential.
Wedding planning involves plenty of decisions, and choosing your venue is one of the biggest. Starting with a shared understanding of your priorities will help you approach the search as a team.
Turn Your Non-Negotiables Into a Wedding Venue Checklist
Once you have agreed on your priorities, turn them into a simple checklist that you can take with you to every wedding venue viewing.
It is easy to get caught up in the excitement of exploring a beautiful space, imagining your tables dressed for dinner or picturing your ceremony beneath the trees. Having your checklist to hand will help you look beyond the aesthetics and consider whether the venue works practically, too.
For each venue, ask yourself:
Does it meet all our essential requirements?
Is there anything we would need to compromise on?
Are there any additional costs associated with our non-negotiables?
Are there restrictions on timings, suppliers, music or entertainment?
Does the venue work for our guest numbers and the experience we want to create?
Can we realistically picture our wedding day unfolding here?
Do not be afraid to ask your venue coordinator or land-owner questions during your viewing. It is much better to understand any limitations before booking than to discover them several months into the planning process.
You can also use your checklist to compare venues after your viewings. When you have visited several beautiful spaces, the details can quickly blur together, and having a record of how each venue measures up against your priorities can make the final decision much easier.
